We are looking for a Partners' Secretary and Administrator for an immediate start
The right candidate will provide support to two of the three Partners as well as all round administrative assistance to our team of 10 ensuring the day to day smooth running of the office.
Main duties include:
Partners' Secretary
- Supporting the Partners by monitoring incoming emails and acting appropriately, diary appointments, updating contacts and handling any other correspondence on their behalf
- Responsible for the Partners' timesheets and expenses and submitting them promptly
- Arranging meetings, booking restaurants and couriers and organising any travel requirements
Administrator
- Ensuring the office infrastructure is kept at its most effective by maintaining facilities, contracts and suppliers and liaising with the landlord
- Implementing all H & S requirements
- Ordering general office supplies and stationery
- Preparing refreshments for meetings and ensuring effective and tidy storage throughout the office
- The first point of contact for all telephone calls including those from clients, professional advisers, journalists and suppliers and providing an efficient message and reminder service
- Offering full support to the team as and when required
- Providing support to the Office Manager in various ways including
Managing internal telecommunications
Assisting with IT systems and issues
Maintaining timesheets and HR records
Key requirements
- Previous secretarial and administrative experience
- Enthusiasm, diligence, initiative and a 'hands on' attitude
- Polished professional presentation and telephone manner
- Organised, with an ability to prioritise tasks, work well alone or within a small team
- Ability to process information confidentially and professionally at all times and to deadline
- Proficiency in computer packages, particularly MS Office 2007
- IT and social-media literate
Reports to the Partners and the Office Manager
Employment term: Permanent, full time with immediate start.
Hours of work:
8.30am to 6pm Monday to Friday. During busy periods, may be required to outside of these hours.
